Job Purpose
Reporting to the Chief Financial and Operations Officer, the Medicaid Billing Specialist plays a critical role in ensuring the financial sustainability of Healthier Moms and Babies by accurately and efficiently billing Indiana Medicaid and Managed Care Entities (MCEs) for home visiting, doula, and mental health therapy services. This position supports our mission to improve maternal and family health outcomes by securing timely reimbursement for the essential services we provide. Additionally, this role offers vital administrative back-up to the Office Manager, helping to maintain smooth day-to-day operations and ensuring high-quality support for the organization.
Starting Hourly Rate: $21.00

Medicaid & MCE Billing
Verify client eligibility using the Indiana Medicaid Eligibility Verification System
Review service documentation for completeness and billing compliance prior to claim submission
Ensure billing aligns with Indiana Health Coverage Programs (IHCP) guidelines and includes appropriate CPT/HCPCS codes for home visiting, doula, and behavioral health services
Submit accurate and timely claims to Indiana Medicaid and MCEs
Monitor claim status via CoreMMIS and payer-specific portals; follow up on denials, rejections, and unpaid claims
Monitor denial and rejection trends; identify root causes and work with internal teams or MCE representatives to resolve issues promptly
Maintain accurate billing documentation for internal records and potential audits
Collaborate with third-party provider enrollment partner to ensure timely updates and accuracy of provider records for billing eligibility
Coordinate with internal providers to resolve billing discrepancies
Work closely with the Chief Financial and Operations Officer to reconcile Medicaid payments, track outstanding claims, and support revenue accuracy
Assist with monthly billing reconciliation and financial reporting
Generate and maintain billing reports to track claims submitted, payments received, denials, and outstanding balances to support organizational financial planning
Stay informed on updates to IHCP policies, MCE requirements, and Medicaid billing protocols to ensure ongoing compliance
Office Management Support (Back-Up Duties):
Provide front desk coverage and phone support as needed
Assist with general administrative tasks including data entry, appointment scheduling, document management, and ordering supplies
Support continuity of office operations in the Office Manager’s absence

High school diploma or equivalent required
Associate’s degree or certificate in medical billing, healthcare administration, or a related field preferred

1–2 years of Medicaid billing experience required, ideally with Indiana Medicaid and Managed Care Entities (MCEs)
Experience using EPIC or similar electronic health record (EHR) systems required

Working knowledge of CoreMMIS, IHCP billing policies, and Indiana Medicaid managed care processes
Strong attention to detail with a high level of accuracy in billing and data entry
Proficiency in Microsoft Office Suite and electronic billing systems
Strong organizational and time management skills
Ability to work independently and collaboratively in a mission-driven nonprofit setting
Excellent verbal and written communication skills
